Business Process Automation: What to Automate First

The best automation candidates are hiding in plain sight — they're the tasks your team complains about on Fridays.

Automation pays off when a process is frequent, rule-based, and boring. A task done once a quarter rarely justifies automation; a task done every morning by someone who'd rather be doing their actual job almost always does.

Signals a process is worth automating

  • The same data gets typed into more than one system
  • A report is assembled by hand on a schedule
  • Files are downloaded from one place and uploaded to another
  • Someone "checks" something daily that a machine could watch
  • Errors keep happening in a copy-paste step

And signals it isn't

Processes that change constantly, require genuine judgment, or happen rarely are usually poor candidates. So are processes nobody fully understands — automate a broken process and you get faster broken results. Sometimes the honest recommendation is to fix the process first, or leave it human.

Start with one

Our advice is always the same: pick one process, automate it well, measure the hours saved, and let that win fund the next one. Automation programs succeed as a sequence of small proofs, not a grand initiative.
